Microsoft 365 User Provisioning Automation

Designed and built an automated onboarding workflow that provisions and configures every Microsoft 365 resource a new employee needs, in one standardized process.

80%faster onboarding
01

The challenge

New employees were onboarded by hand across several Microsoft 365 admin portals.

  • Slow

Each new user took 30–45 minutes to set up across services.

  • Error-prone

Manual setup led to missed steps and incorrect permissions.

  • Inconsistent

Different IT staff followed different steps.

  • Security risk

Without a standard, users could end up with too much access.

02

The solution

A PowerShell automation using Microsoft Graph API, triggered by a new-hire request (HR form, SharePoint list or CSV).

  1. User creation

Creates the account in Azure AD with the required attributes and licenses.

  2. Mailbox setup

Creates and configures the Exchange Online mailbox with settings and policies.

  3. Teams access

Adds the user to the right Teams and channels.

  4. SharePoint access

Grants access to sites and document libraries based on role.

  5. Security groups

Assigns role-based groups for least-privilege access.

  6. Logging

Records every action and error for audit and troubleshooting.

03

Results

  • 80%faster

Onboarding time down from 30–45 minutes to 5–8 minutes per user.

  • 100%standardized

Every user is set up the same way across all services.

  • Manual work eliminated: the IT team focuses on higher-value work.

  • Better security: role-based access and least-privilege group assignments.

  • Scalable: handles high-volume onboarding as the organization grows.

04

My role

Designed the workflow, developed and tested the PowerShell scripts, integrated Microsoft Graph API, built error logging, and deployed the solution.
